EUNICAS Privacy Statement

 

EUNiCAS respects your privacy. We strongly believe that any personal data provided to EUNiCAS by any means must be collected, used and stored in an adequate manner. In this privacy statement, we inform you of the manner in which personal data is collected and used as well as how you can amend your data or have it removed. This privacy statement provides information for visitors to our website, creators of a EUNICAS account, individuals submitting an application or e-mail as well as participants/exhibitors at one of our events, or events we may attend.

 

1: General Data Protection Regulation (GDPR) legislation
The General Data Protection Regulation (Regulation 2016/679) is applicable to the data collection and processing by EUNiCAS, who are a so-called data controller as stated in the General Data Protection Regulation.

2: What personal data do we collect and how do we collect this data?
We only store personal data that is volunteered to us. This includes, but is not restricted to, all data provided when creating a EUNiCAS account, subscribing to our newsletter, registering for a EUNiCAS-organised event, completing one of our enquiry forms or any kind of communication by e-mail or fax, or during a telephone conversation or in person. This data includes, but is not limited to, personal data such as your name or e-mail address, or the data contained in your Pre-Application Form or EUNiCAS Enquiry Form (including your address, school name and subject interest) as well as debit/credit card account information or other information required to process payments on your behalf.

3: Your Information
We may collect the following information from you:
- Information which you give us from any of the data entry areas on the website
- Information which you give us by any other means including, telephone or text
- Information which you give us in connection with your application
- If you contact us, we may keep a record of that contact, be it by phone, mail or otherwise

4: How we use your information
EUNICAS only processes your personal data for specific objectives of the organisation, balancing the legitimate interests of the organisation against the interests and rights of you, the data subject. Below we give a brief description of these objectives, also known as the purpose of use. EUNiCAS uses the information that we hold about you in the following ways:

- for students who have completed our Pre-Application Form, we forward your details (Name, email and programme you are interested in) to your selected eight universities/institutions, by way of an ‘alert’ to your impending application.
- to notify you, either by e-mail, or through our Newsletter, about updates, key dates, late vacancies and other events or deadlines
- after you register to use our service, you will be sent a Personal ID and your user name for using your ‘My Eunicas’ account. Please do not reveal these to anyone. Eunicas will not be liable to you for any loss or damage suffered by you as a result of an unauthorised people accessing your account.
- if you have completed our Enquiry Form, at a careers fair or school visit, we can forward this information (with your prior consent on the Form) to universities offering programmes that meet your selected course areas.
- If you have completed our Newsletter, we only use this information to update you on developments in third-level education in mainland Europe. Including new programmes, application deadlines, programme vacancies and entrance test dates and details.
- if you have registered for one of our events, we only use this information, to forward to participating universities, so they can follow up with you, your participation in the event.
- from time-to-time to survey our members to better improve our service and offering.
- to analyse the use of the website and to gain insights in its usability. We, anonymously, track your site use through Google Analytics. This service helps us to see how often our website is used, on which dates and times, on which locations and for how long.

5. What is the legal basis of processing?
The updated GDPR regulations require a legal basis for each act of processing personal data.The personal data you share with us is processed based upon your consent. We will request for your specific informed consent in such way that you can freely give this. You have the right to withdraw your consent at any time by simply informing us that you withdraw your consent. This withdrawal will not affect the use of your data prior to the withdrawal.

6: Who has access to your data and to whom is it disclosed?
Your personal data will primarily be accessible to employees of the EUNiCAS, all of whom have signed a non-disclosure clause in their employment agreement with the EUNICAS. Your data may be accessible for the purposes of development, maintenance and support of the website and our systems. We have the assistance of the following companies who therefore, and solely for this purpose may have access to your data:

- Acton BV, an Irish ICT company responsible for the development, maintenance and hosting of our websites
- Realex Payments, a division of Global Payments Inc, a US company responsible for our payment gateway
- Eventbrite, a U.S.-based event management and ticketing website.
- Survey Monkey, a USA based cloud surveying tool.
- Create Send, an Irish based newsletter software provider.

Only when legally obliged to do so, we will provide your data to authorities, other parties, persons or supervisory bodies, in-line with GDPR regulations.

7: How do we protect and safeguard your information?
EUNiCAS takes the storage and security of your data seriously. Our primary database is located offsite on a dedicated, secured server. Physical access is limited to staff essential for its maintenance. Data can only be accessed remotely through firewalls

8: How can you verify, modify or delete your data?
You have several rights regarding the processing of your personal data. You have a right to request access, correction, deletion, the right to be forgotten, restriction of the use of your data, and, under certain circumstances, you have the right to object to the use of your data. You may contact us (see our contact details mentioned below) to see the data we process on you. Within the rules of law, we will provide you with a detailed answer.

9: How long do we keep your data?
We keep your personal data for as long as we consider this necessary to meet the objectives as mentioned in section 5 above. For information gathered from you in setting up a EUNICAS account, in registering for our Newsletter, or completing our Enquiry Form, we keep this information for a maximum of 2 years, before it is deleted. For information gathered in your registering for one of our events, this information is deleted, immediately after forwarding it to the participating universities.

In order to comply with obligations pertaining to our financial records, EUNiCAS accounts containing any financial information cannot be deleted for 7 years, this is the timeframe set by law for audit purposes.

10: Cookies
EUNiCAS uses cookies on its website. Cookies, generally known as “functional cookies” are used to store your personal settings, such as your account details and password. Legislation allows us to use these functional cookies without your consent, you can control these settings through your web browser. Social media cookies are in place to allow you to share the content of our website to your social media channels. These cookies are not placed by us but by the social media parties themselves.
